Client & Portfolio Management

Duplicate Accounts Can Distort Every Recovery KPI

One person entered twice means double calls, wrong balances and fake KPIs. Nexum stops duplicates at the door.

A duplicate doesn't just waste a call. It quietly corrupts every number built on top of it.

Summary

Duplicates create repeated outreach, missed restrictions, wrong balances and misleading reports.

They creep in through re-placements, multiple clients, typos and manual entry.

Nexum's Import Center holds SSN and last-name matches side by side for a deliberate decision.

Key takeaways

Check every import against existing debtors.

Never auto-merge on weak matches.

How duplicates get in

Re-placements, the same person placed by two clients, transposed SSN digits, accounts created by hand without searching, and migrations.

What they cost

Repeated outreach. The same consumer gets two calls, two texts and two letters, sometimes on the same day. That's a bad experience, and it can push contact frequency past your limits because each record counts separately.

Missed restrictions. A cease-and-desist or bankruptcy recorded on one record doesn't protect the consumer on the other.

Wrong balances. Totals double-count, and collectors can quote the wrong amount.

Misleading KPIs. Placed balance, recovery rate and contact rates are all distorted. You make decisions on numbers that aren't real.

Client trust. A client who spots duplicate accounts in their portal starts doubting everything else.

Catch them at the door

The cheapest place to stop duplicates is intake:

  • Match incoming people against existing debtors on reliable identifiers (for example SSN plus last name).
  • Hold matches for review instead of guessing.
  • Show incoming and existing records side by side.
  • Let reviewers choose: same person (add the account), different person (create a new debtor), or verify (send to someone to confirm).

Merge carefully

When records are the same person:

  • Preserve source records and history.
  • Log who merged and why.
  • Carry over every restriction and flag.
  • Recheck balances after the merge.

Never merge automatically on weak matches like name alone. A wrong merge is worse than a duplicate.

Audit periodically

Run a quarterly check for likely duplicates (same SSN, same phone with similar names, same address and DOB) and resolve them. Then look at how they got in and fix the source.

The bottom line

Clean records mean honest numbers and fewer complaints. Nexum catches duplicates before they cost you.
