Migration Success Is Measured After Go-Live

Go-live is the start, not the finish. 502ZONE stays with you until the floor is back to normal, and better.

The migration is finished when the floor is back to normal, not when the data finishes loading.

Summary

Migration problems surface in the 60 to 90 days after cutover.

Baselines, daily exception reviews, weekly productivity checks and a full month-end reconciliation prove success.

Nexum's Dashboard, HeartBeat, task boards and Training Desk make the post-go-live period visible and supported.

Key takeaways

Record baseline metrics before cutover.

Review exceptions daily for two weeks.

Keep the old system read-only until a full month-end reconciles.

Cutover isn't the finish line

Go-live parties happen. Then the client report doesn't match, collectors can't find something, and a payment integration drops a few transactions a day.

Set a baseline first

Before cutover, record:

  • Right-party contacts and payments per collector per day.
  • Collections per week.
  • Time to post payments.
  • Dispute and complaint rates.
  • Client report delivery times.

You'll need these to tell whether things are back to normal.

Daily, for the first two weeks

  • Exceptions: import, integration and payment exceptions, each with an owner.
  • Reconciliation: payments and balances against the processor and the old system.
  • User issues: questions and problems logged and answered.
  • Restricted accounts: spot-check that cease, bankruptcy and dispute flags are working.

Weekly, for the first two months

  • Productivity vs. baseline, by collector.
  • Collections vs. baseline.
  • Adoption: are people using the new features, or working around them?
  • Client feedback.

Monthly

  • Full reconciliation of balances and payments by client.
  • Month-end close time.
  • Commission accuracy.
  • Lessons learned, and fixes still open.

Expect a dip, plan for recovery

Some productivity dip is normal as people learn. Plan for it: extra floor support, quick-reference guides, an easy way to ask questions. The goal is a short, shallow dip.

Keep the old system available

Keep read-only access to the old system until reconciliation holds through at least one full month-end and client reporting cycle.

How Nexum supports go-live

  • Dashboard and HeartBeat Daily Flash for an instant read on the floor.
  • Import Center, BackOfficeHub and module logs make exceptions visible.
  • Training Desk with manuals, courses and an AI Teacher answering "how do I…?" in English or Spanish, logging what the manuals didn't cover.
  • 502ZONE installed it and knows exactly how it's configured.
