Dashboards Should Point to Decisions That Improve Conversion

If nobody acts when a number turns red, it doesn't belong on the dashboard. HeartBeat tells you what to do about every red.

If nobody acts when the number turns red, it doesn't belong on the dashboard.

Summary

Dashboards fail when metrics have no owner or next step.

Every metric needs an owner, a threshold, an expected action and a follow-up measure.

Nexum's Dashboard gives the snapshot; HeartBeat flags issues and recommends actions.

Key takeaways

Remove metrics nobody acts on.

Define red, amber and green for each.

Dashboards as wallpaper

Most agencies have dashboards. Few know who acts when a number moves, or what they should do.

From metric to decision

For every metric on a management dashboard, define:

1. Owner. The person or team responsible.

2. Threshold. What counts as normal, warning and action-needed.

3. Expected action. What the owner does when it crosses a threshold.

4. Follow-up measure. How you'll know the action worked.

Example:

  • Metric: follow-ups overdue.
  • Owner: floor supervisor.
  • Threshold: more than 5 percent of open accounts.
  • Action: rebalance workloads; review list-building.
  • Follow-up: overdue rate back under threshold within a week.

Keep it short

A dashboard with 40 metrics is unreadable. Start with eight to twelve that matter, with drill-downs for detail. See which collection agency KPIs matter most.

Include the whole operation

Conversion problems often start outside the collection floor: a stalled import, an integration failure, a dispute backlog, a deprecated AI model. Executive views should include:

  • Collections and conversion.
  • Money: fees, margins, reconciliation.
  • Operations: backlogs, overdue work.
  • Compliance: disputes and exceptions.
  • Technology: integrations, services and costs.

Record decisions

When the dashboard prompts a decision, write it down with a check date. Review those decisions in the next meeting. This turns dashboards into a management system.

How Nexum does it

The Nexum Dashboard gives everyone a live snapshot. HeartBeat goes further: CEO, CFO, VP of Operations and CTO perspectives flag what's wrong and recommend what to do next, with Daily Flash and Operations Meeting reports for the routine. Both are included with the free core.

The bottom line

Fewer charts, better decisions. That's HeartBeat.
