Dispute Handling Is a Workflow and Evidence Problem

Why disputes need a workflow
Depending on type and timing, rules may require you to stop collecting until you verify, respond by deadlines or report the account as disputed. Bureau disputes through e-OSCAR have their own clock. A note saying "says not theirs" isn't enough.
The dispute workflow
1. Intake from every channel. Phone, mail, email, portal, credit bureau, attorney, regulator. Every dispute logged in one place with channel, type, date and what the consumer said.
2. Classification. Not mine, wrong amount, already paid, identity theft, statute of limitations, other. The type shapes the investigation.
3. Status and suppression. Account flagged as disputed; collection outreach paused as your policy requires.
4. Investigation. Gather evidence: account records, client documents, payment history, prior communications.
5. Client involvement. Request documents through a tracked request; record when they arrive.
6. Response. Provide the appropriate response to the consumer, bureau or regulator, within deadlines.
7. Resolution. Record the outcome, the date and the evidence. Update the account: verified, corrected, closed or returned to the client.
Deadlines
Track every dispute against its deadline. Review open disputes by stage weekly, and escalate any approaching their limit.
Learn from patterns
Dispute types and sources reveal upstream problems: a client whose placements generate many "wrong amount" disputes may have a data issue; a collector with many disputes may need coaching.
Measure it
- Disputes by type and source.
- Disputes resolved within deadlines.
- Average time to resolution.
- Repeat disputes after resolution.
How Nexum handles it
- File from the account with channel and type; the account moves to disputed automatically and shows an amber warning.
- Disputes screen lists every dispute by stage; resolving records the date.
- Debt Disputed result code on calls, plus + Task for client documents or compliance review.
- Automatic exclusion from SilentReach, Nudge, Campaigns and DebtorIndex outreach.
- ACDV disputes in e-OSCAR Agent, where linking flags the account and opens a dispute record.
The bottom line
Consistent dispute handling protects consumers and your agency. Nexum makes it the default.
