The Nexum Payments List: Finding, Checking and Totaling Collections

The Payments list shows every payment recorded in the CRM, so staff can confirm a payment, find a reference or total collections by client and period.

If it isn't recorded on the account, it didn't happen.

Summary

Payments lists every recorded payment, searchable by account number, reference, client and dates.

Payments are recorded from the account itself, not from the list.

Clicking a row opens the account with its balance, notes and history.

Key takeaways

Record every payment from the account with method and reference.

Use date and client filters for period totals.

When totals don't match, narrow the dates and compare.

What the Payments list is for

Payments lists every payment recorded in the Nexum CRM. Use it to check whether a debtor has paid, look up a reference number, or see the total collected for a client in a period.

Searching payments

Type an account number or a reference in the first box. Choose a client to see only that client's payments, and set a date range for a period. The total reflects every payment in your search.

Opening the account behind a payment

Click a row. The account opens, so you can see its balance, notes and history.

Recording a new payment

Payments are recorded from the account, not from this list. Open the account, click + Payment, and fill in the amount, type, method and reference. See inside Nexum Accounts.

Troubleshooting

A payment is missing. Check the date range and the client filter, and search by account number. If it still doesn't appear, it may not have been recorded yet; ask the agent who took it.

The total doesn't match what I expected. The total counts every payment in your search, including the types you filtered in. Narrow the dates and compare piece by piece.

Where payments flow

A recorded payment affects:

  • The account balance and history.
  • The client's portal view of payments.
  • Agency fees and collector commissions.
  • Collector lists and outreach eligibility.
  • Reports and HeartBeat's financial views.

That's why accuracy at entry matters so much. For the bigger picture, see a posted payment should update the entire agency and reconciliation is a revenue-control system.

Good practices

  • Always include a reference that ties back to your processor or bank record.
  • Reconcile payment totals against processor deposits daily.
  • Correct mistakes promptly and note why.

Why it matters

Payments are where collections become revenue. A clear, searchable ledger makes questions from clients, consumers and finance quick to answer.
