Inside Nexum Accounts: One Screen for the Whole Story of a Debt

Every account is one debt placed by one client. Nexum puts the balance, the debtor, the history and the warnings you must respect on one screen.

Everything about a debt, in one place, with the rules built in.

Summary

Accounts is where staff find any account and work it: contacts, notes, payments, disputes, documents and tasks.

Compliance blocks stop a call from being logged when contact isn't allowed, with a red bar explaining why.

Agents and admins have different permissions, and sensitive changes go through approval requests.

Key takeaways

Read the warning bars before every contact.

Use + Task for transfers and plan approvals instead of editing assignments directly.

Keep debtor phone numbers and emails accurate; bad data wastes calls.

What the Accounts screen is for

In Nexum, every account is one debt placed with the agency by one client. Opening an account shows everything about it in one place: the balance, the debtor, the history, the notes and the warnings staff must respect. It's the screen collectors and supervisors spend most of their day in, alongside My Desk.

Finding an account

Type a name, phone number or account number in the search box at the top. You can narrow the list with filters for status, category (New Business, Active, Payment, Legal and others), client, and flags such as Priority, Follow-up Due, Disputed or Bankruptcy, and sort by newest, balance or follow-up date.

Working an account

From the account, staff can:

  • Log a contact: choose the channel (call, text, email or mail), the direction (outbound or inbound) and the result. Some results change the account's status automatically, and the new status is shown before you save.
  • Add notes and set follow-ups: 1 day, 3 days, 1 week or a custom date. Follow-ups drive the Follow-up Due flag and the Dashboard.
  • Record payments with amount, type, method and reference.
  • File disputes by channel (phone, mail, email, credit bureau, attorney or regulator) and type.
  • Attach documents and review recordings.
  • Fix debtor contact details: add, edit or remove phones and emails, and update name, date of birth, employer, address and tags.

Compliance is built into the screen

Logging a call is blocked, with a red bar showing the reason, when any of these is true: a cease-and-desist, the do-not-call list, a bankruptcy, the current time is outside legal call hours for the debtor's state, or the daily or weekly attempt limit has been reached. The hours and limits are configured in CRM Settings.

Amber warnings flag things to take into account, such as a statute-of-limitations date within 90 days. An expired SOL shows a red bar.

Legal dates and status

In the account's edit panel, staff can set the follow-up date, SOL date, legal status (not litigated, in litigation, judgment) and account notes.

Requests instead of shortcuts

Collectors raise requests with + Task, using templates like Request Account Transfer, Request Payment Plan Approval or Request Document from Client. Requests go to admins, who review and approve or decline from the task system. An approved transfer moves the account to the requesting agent's desk automatically.

Who can do what

Agents can search, open accounts, log contacts, add notes, change status, record payments, file disputes, attach documents and create tasks.

Admins can do all of that, plus create accounts, change the assigned agent, delete documents (deletion is permanent), and use the Clients, Import Center and Back Office screens.

Creating an account by hand

Most accounts arrive through the Import Center. To add one manually, admins click + New Account and fill in the client's account number, first and last name (required), phone, email, SSN (stored encrypted), date of birth and original creditor.

Why it matters

When the whole story and the rules live on one screen, collectors make fewer mistakes, supervisors spend less time correcting them, and every action leaves a record.
