One Account Record, Many Connected Workflows

When the dialer, texting tool, portal and spreadsheet each keep their own copy, they disagree. Nexum runs every workflow from one account record.

When every workflow reads the same record, nobody reconciles their version of the truth.

Summary

Copies of the same account in several systems drift apart and create contradictions.

One authoritative record with event-driven updates removes re-entry and conflict.

Every Nexum module reads and writes the same account.

The many-copies problem

The CRM, dialer, texting platform, payment portal, reporting spreadsheet and client system all hold a copy of the same account, updated on different schedules. Eventually the collector sees one balance, the portal another and the client report a third.

One record, many workflows

The alternative is a single authoritative account record that every workflow reads and writes:

  • Collector work: lists, contact logging, notes and tasks.
  • Contact eligibility: blocks and limits applied to every channel.
  • Outreach: campaigns built from the record and posting back to it.
  • Payments: posted to the record, updating everything else.
  • Finance: fees, commissions and remittance calculated from it.
  • Client reporting: portal views and statements read from it.
  • Executive views: dashboards built on the same data.

Events, not exports

When something changes (a payment, a dispute, a status change, a consumer request) the update should propagate from the record to every workflow that depends on it, not wait for a nightly export or someone's spreadsheet.

Source of truth per data element

If some data must live in another system (for example, a client's own CRM or a payment processor), decide which system is authoritative for each element. Balance: the agency CRM. Card details: the processor. Then sync in one direction for each, with clear rules.

Test it

Pick one event, such as a payment, and confirm every view updates correctly: account, collector list, campaign eligibility, commission, client portal and dashboard. Then try a cease-and-desist and confirm every channel stops.

Measure it

  • Manual re-entry tasks per week.
  • Discrepancies found between systems.
  • Time for an event to reach every view.

How Nexum is built

My Desk and Accounts, SilentReach, Nudge and Campaigns, payments and commissions, the Client Portal, the Dashboard and HeartBeat all read the same Nexum account. Every channel posts to one Comm Log. Optional modules use that record instead of their own copies, and service credentials come from one vault.

The bottom line

Fewer copies, fewer contradictions. Nexum runs every workflow from one account.
