Client & Portfolio Management

Stop Rebuilding Your Intake Process for Every Creditor

Stop solving the same file problem every month. Nexum gives every creditor one template, one review queue and one account model.

Map once, document it, and stop solving the same file problem every month.

Summary

Custom intake per creditor creates errors, delays and key-person dependency.

One internal account model, a mapping per client and a review queue make intake repeatable.

Nexum's Import Center and Client Portal uploads standardize intake for every client.

Key takeaways

Define your standard account model once.

Offer every client your template.

The hidden tax

Every creditor sends files differently, and many agencies depend on one person who "knows how to fix the ACME file." When that person is out, intake stalls. When they slip, it reaches the floor.

Define one internal account model

Start with what an account means inside your agency: the fields every account must have, their formats and their rules. For example:

  • Client account number (required, unique per client).
  • Debtor first and last name (required).
  • SSN (encrypted; required or optional per client agreement).
  • Date of birth, address, phones, emails.
  • Original creditor and charge-off or delinquency date.
  • Principal, interest, fees and current balance, with a rule for how they add up.
  • Debt type or industry.
  • Any client-specific instructions.

Map each client to it

For every client, write a mapping document: which source column feeds which field, how to convert formats, how to interpret their codes, and which values are required. Version it. When the client changes format, update the mapping before processing the next file.

Offer a template

Many clients will gladly use your standard template if you give them one. Fewer custom mappings means fewer errors.

Validate before loading

Run each file through checks:

  • Required fields present.
  • Formats correct (dates, phone numbers, amounts).
  • Balances consistent with their components.
  • No duplicates within the file.
  • Matches against existing debtors flagged for review.

Rows that fail go to an exception queue, not straight into production and not quietly "fixed."

Close the loop with clients

Track rejection and exception reasons per client and share them. Most clients want cleaner placements; they just need to know what's wrong.

Measure intake quality

  • Placement rejection rate by client.
  • Time from file received to accounts live.
  • Disputes in the first 60 days traceable to data errors.
  • Client reporting effort.

How Nexum standardizes intake

  • Standard template download in the Import Center.
  • Every batch tied to a client and held for admin review before going live.
  • Duplicate debtors shown side by side for a decision.
  • Client portal uploads validated against the template instantly, with the batch status visible to the client.

The bottom line

Intake should be a process, not an art. Nexum makes it one. See validate every placement.
