Payments & Finance

Cash Application Should Trigger the Next Workflow Automatically

Match the money, then let everything else update itself. In Nexum, a posted payment ripples through the whole agency automatically.

Money that isn't applied correctly is money your client can't see and your collector can't stop chasing.

Summary

Cash application matches received funds to the right accounts.

Once matched, every downstream update should happen without manual steps.

Nexum posts payments to the account record that drives lists, commissions, client views and reports.

Key takeaways

Require a reference on every payment.

Clear the unmatched-funds queue daily.

More than bookkeeping

A payment matched late or wrong means a consumer called after paying, a wrong client report and an incorrect commission.

Matching

Payments arrive from many places:

  • The debtor portal and payment links.
  • Collector-taken payments.
  • Scheduled ACH or card payments.
  • Mailed checks.
  • Payments made directly to the client (direct pays).

Each needs a reliable way to match: an account number, a reference, or a processor transaction ID. Require references wherever possible.

Then trigger everything else

Once a payment is matched and posted, these should happen automatically:

  1. Balance update on the account.
  2. Payment plan update: mark the installment paid, adjust the schedule.
  3. Promise update: mark a promise kept.
  4. Worklist update: remove or reprioritize the account on today's lists.
  5. Outreach suppression: pause campaigns where appropriate.
  6. Agency fee and commission calculation.
  7. Client visibility: the payment appears in the client's portal and reports.
  8. Remittance: included in the next remittance calculation.

When any of these require a person to remember, they eventually get missed.

Hold exceptions for review

Not everything matches cleanly: unreadable references, amounts that don't fit, payments for closed accounts, duplicates. Send these to an exception queue with an owner, and clear it daily. Don't let unapplied cash sit.

Reconcile daily

Compare processor and bank deposits with posted payments every day. Small differences found today are easy; found at month-end, they're painful. See reconciliation is a revenue-control system.

Measure it

  • Posting accuracy.
  • Time from receipt to posting.
  • Unapplied funds at end of day.
  • Time spent reconciling.

How Nexum does it

Payments are recorded on the account with amount, type, method and reference, and that one account record feeds call lists, campaigns, commissions (calculated on the agency fee) and the client's portal. The Payments list searches by account or reference, filters by client and date and totals for daily reconciliation. Exceptions route to tasks. See reconciliation is a revenue-control system.

The bottom line

Apply cash fast and correctly, and let Nexum handle everything after.
