Client & Portfolio Management

The Creditor Handoff Is Where Recoveries Start or Stall

The first call is only as good as the file behind it. Nexum makes every creditor handoff complete, reviewed and visible.

The first conversation is only as good as the file behind it.

Summary

Missing history, unclear balances and unknown legal status at placement cause disputes and delays.

A placement checklist agreed with each client makes handoffs consistent.

Nexum's Client Portal uploads, Import Center review and tracked document requests tighten every handoff.

Key takeaways

Agree a placement data checklist with every client.

Put client instructions where collectors will see them.

Where recoveries start, or stall

If a placement arrives with balance history, original creditor, key dates, prior disputes and legal status, the first call is confident. If not, the first call is "I'll have to check on that," and the consumer disputes.

What a good handoff includes

Ownership and authority. Who owns the debt and the agency's authority to collect it.

Identity data. Names, addresses, phones, emails, date of birth and identifiers.

Balance history. Principal, interest, fees, payments and adjustments, so the balance can be explained.

Key dates. Delinquency or charge-off date and the last payment date, which matter for statute-of-limitations analysis.

Prior disputes and complaints. Including how they were resolved.

Legal status. Bankruptcy, litigation, judgment, attorney representation, deceased.

Consumer requests. Cease-and-desist or contact preferences received by the creditor.

Client instructions. Settlement authority, payment-plan limits, reporting expectations and anything the client doesn't want done.

Agree it in advance

Turn that list into a placement checklist and agree it with each client during onboarding. Note which fields are required and what happens if they're missing. See client onboarding is where agency credibility is won.

Make instructions visible

Client-specific instructions are useless if they live in an email. Put them where collectors will see them: on the client record, in account notes, or as rules in the system.

Track handoff quality

  • Time from placement to first contact.
  • Exceptions at intake, by client and reason.
  • Early disputes (first 60 days) and whether they trace to missing data.
  • Document requests to clients and how long they take.

How Nexum tightens the handoff

  • Client Portal uploads using your template, validated instantly.
  • Import Center review before anything goes live.
  • Client records with code, industry, contact and fee percentage.
  • Account fields for original creditor, SOL date and legal status.
  • Tracked document requests with + Task instead of email.
  • Disputes in their own workflow.

The bottom line

Better handoffs mean faster first contacts and fewer disputes. Nexum makes complete placements the norm.
