Client & Portfolio Management
The Nexum Client Portal: Give Creditors Visibility, Not Your Whole System
Your creditor clients sign in to upload placements, watch recovery and see payments, and only see the menus you allow.
Give clients confidence in their portfolio without giving them your system.
Summary
The Client Portal is a branded site for creditor clients; staff don't use it.
Clients can upload placements, view a dashboard, browse their accounts and payments, and read published statements.
Every upload is validated instantly and then reviewed by your team before accounts go live.
Key takeaways
Start clients with a few menus and add more on request.
Link each client login to the right creditor record.
Review uploaded batches quickly; clients can see they're waiting.
What the Client Portal is
The Nexum Client Portal is a branded site for your clients, the original creditors. They sign in to upload new business, watch recovery and see payment data. Staff don't use it; you give each client a login and decide what they see. It's included in Nexum Open CRM.
Giving a client a login
Open User Management and click + Add User. Enter the contact's name and email and choose the role Client (Creditor). Link the login to the right client record when asked. You can also create or reset a client login from the Clients screen; see setting up clients.
What a client can see
Only the menus you allow:
Upload Debtors. Download the template, validate a file and see My Uploads with the status of each batch. Files must be CSV using the template columns. Files are checked instantly, then reviewed by your team before accounts go live.
Dashboard. Total placed, collected to date, collected this month, recovery rate, open and total accounts, open balance, and portfolio by status.
My Accounts. Placed accounts with balance, status and last payment, with a search box. Read-only.
Payments. Payment history on the client's accounts, with a filter.
Reports → Statements. Statements you've published.
How client uploads reach you
When a client submits a file, it arrives as a batch in the Import Center waiting for review. Nothing goes live until your team reviews and commits it. The client sees the batch status in My Uploads, including In Review.
Publishing statements
Build a Client Statement in HeartBeat → Reports, read it, and click Publish to client portal. The client then sees it under Reports → Statements. Unpublish removes it.
Good practices
- Start with fewer menus and add more as the client asks.
- Review uploaded batches promptly; clients can see a batch waiting.
- Test with two client logins to confirm each sees only its own data.
- Keep branding consistent with your agency's other communications.
What clients never see
Collector notes, internal tasks, other clients' data, settings or anything about how your platform is built. The portal shows clients their portfolio, not your operation. See real-time client reporting without exposing the agency.
Why it matters
A client portal cuts status emails, speeds up placements and makes your agency look and feel more professional, which helps win and keep business.
