Utility Placements: Turning Messy Files Into Collectible Accounts
Utility files bring multiple premises, final bills and adjustments. Nexum's reviewed intake keeps bad balances off your collectors' screens.
Collecting the wrong balance is worse than not collecting at all.
Summary
Utility placements often mix service addresses, partial periods, deposits and adjustments.
Validating balances and isolating disputes before collection prevents disputes and complaints.
Nexum's Import Center, industry qualification and dispute workflow are built for exactly this.
Key takeaways
Write a field mapping for each utility client.
Quarantine rows with balance conflicts or missing service details.
Route utility accounts only to collectors trained for them.
Why utility files go wrong
A single customer can have several service addresses, final bills with partial periods, deposits applied, late fees and adjustments, and sometimes pending meter-read disputes. Utilities also change export formats when they upgrade billing systems. Load that straight onto the floor and collectors quote balances they can't explain.
Validate before you collect
Before utility accounts go live, check:
- Identity and service address: who the customer of record is, and which premises the balance relates to.
- Service period: start and end dates for the final bill.
- Balance composition: charges, credits, deposits applied and fees, so the balance can be explained.
- Prior disputes or adjustments: anything pending at the utility.
- Duplicate customers: the same person placed twice for different premises.
- Required fields: missing data that would block compliant contact.
Rows that fail these checks should be quarantined for review, not loaded with a guess.
Map once, reuse every time
Write a mapping document for each utility client: which column is the account number, how service addresses are represented, how to identify final bills, how to interpret adjustment codes. Use it every time. When the client's format changes, update the mapping before the next file, not after the first wrong call.
Give collectors context
Utility consumers often ask "what is this for?" Collectors should be able to see service address, service dates and how the balance was built. Qualify collectors who understand utility accounts, and include those details in account notes or fields at import.
Treat disputes carefully
Utility disputes are often about meter reads, estimated bills or move-out dates. Log them as disputes with the right type, request documents from the client through a tracked request, and suppress outreach while they're open.
Measure placement quality
Track per utility client:
- Rows quarantined at import, and why.
- Dispute rate in the first 60 days.
- Time from placement to first contact.
- Recovery by placement cohort.
Share the quarantine reasons with the client; better files help everyone.
How Nexum handles utility portfolios
- Import Center: every batch waits for admin review, and possible duplicate debtors are shown side by side for a decision.
- Client portal uploads are checked against your template instantly.
- Industry qualification: clients carry an industry, and Back Office only gives utility accounts to collectors qualified for them.
- Disputes: tracked by stage with outreach suppressed automatically.
- Document requests to the client through tracked + Task requests.
The bottom line
Utility portfolios pay when the balance is right and the collector can explain it. Nexum's intake makes sure both are true. See validate every placement.
