Clean Creditor Data Before It Reaches a Collector

Bad placement data becomes bad calls, disputes and complaints. Nexum cleans it at the door.

Fix the format. Flag the gap. Never invent the fact.

Summary

Formatting errors, missing values and inconsistencies in placements cost contact rates and create disputes.

Cleansing should fix formats and flag gaps, never invent facts.

Nexum's reviewed intake, debtor-level corrections and automatic campaign screening keep data clean.

Key takeaways

Standardize phone, address, date and amount formats at intake.

Flag missing required data instead of filling it.

See Nexum's intake controls in a demo.

Data quality is a collections problem

A misformatted phone doesn't dial. A missing unit number returns mail. A wrong date of birth fails verification. A balance that doesn't add up becomes a dispute.

What to clean

Phone numbers. Strip punctuation, standardize to one format, separate multiple numbers, and identify likely invalid numbers. Where you can, note number type (mobile vs. landline), which matters for texting and some calling rules.

Addresses. Standardize format, separate fields, and validate against postal standards. Flag incomplete addresses.

Names. Trim whitespace, standardize capitalization, separate first and last names correctly, and handle suffixes.

Identifiers. Validate formats for account numbers and SSNs (and encrypt SSNs at rest).

Dates. Convert to one format; check that dates are plausible (no birth dates in the future).

Amounts. Convert to numbers, check signs and decimals, and confirm components add up to the balance.

Codes. Translate client status codes into your own.

Normalize, don't invent

Cleansing should change the format, not the facts. If a required value is missing (no date of birth, an ambiguous balance), flag the row for review or ask the client. Filling gaps with guesses, or with data from unverified sources, creates risk. Enrichment from reputable sources is a separate, deliberate step with its own rules; see data enrichment only pays when it changes the next action.

Where to clean

The best place is intake, before accounts are live. Cleaning after accounts are already in campaigns means some outreach has already gone out on bad data.

Measure and share

Track defects per client: missing fields, invalid phones, balance mismatches, duplicates. Share a short quality report with each client. It improves future files and shows clients you're careful with their accounts.

How Nexum keeps data clean

  • Import Center: standard template, client required for every batch, admin review before going live and duplicate debtor checks.
  • Client portal uploads validated instantly.
  • Debtor-level corrections: fix phones, emails and addresses once and every related account benefits.
  • Campaign screening automatically removes invalid numbers, landlines for texting and duplicates.

The bottom line

Clean data is the cheapest performance and compliance win in collections. Nexum builds it into intake. See AI cannot repair bad placement data.
