Security Due Diligence for Cloud Collections Software

With most cloud CRMs, your consumers' data lives in someone else's account. With Nexum, it lives in yours.

You can outsource the servers. You can't outsource responsibility for the data.

Summary

Cloud software shifts some work to the vendor, never accountability for consumer data.

Due diligence covers data location, vendor access, subprocessors, shared responsibilities, incidents and exit.

Nexum runs in the agency's own AWS account, installed and configured by 502ZONE.

The responsibility question

Your clients and regulators will hold your agency responsible for consumer data, no matter whose servers it sits on.

Key areas to cover

Data location. Which cloud provider, which region, and whose account? Is your data in a shared environment with other customers or isolated?

Vendor access. Which vendor staff can access your data or environment, for what purposes, with what approval and logging?

Subprocessors. Which third parties (messaging, AI, payments, storage) receive data, and what do they receive?

Shared responsibility. Who handles each of these: infrastructure security, application updates, user management, backups, restoration, monitoring, incident detection, incident notification?

Backups and recovery. Frequency, retention, restoration testing, and recovery time objectives.

Incidents. How quickly will they notify you, and what information will they provide?

Exit. How do you get all your data out, in what format, at what cost, and how quickly? What happens to your data after you leave?

Self-hosted vs. vendor-hosted

Vendor-hosted SaaS: the vendor runs infrastructure and usually backups; you rely on their controls and evidence.

Agency-hosted (your cloud account): you own the infrastructure and data; the vendor or installer configures it, but ongoing infrastructure operation (and its cost) is yours.

Test exit early

Ask for a data export of a test client during evaluation. Check it's complete and usable. Many agencies discover export limits only when they try to leave.

How Nexum handles it

Nexum is deployed into the agency's own AWS account, so location and infrastructure are under your administration. 502ZONE installs and configures it, including storage and service connections. Customers work in the portal, never the server back end. Every connected service (AI, messaging, voicemail, email, storage) is configured through one encrypted Service Credentials vault, so the list of data flows is explicit. And Nexum's code is proprietary, not published for attackers to study.

The bottom line

Know exactly who's responsible for what. With Nexum, your data is in your account. See planning your AWS hosting.
