One Person, Many Accounts: Working the Nexum Debtors View

One debtor can owe on several accounts. The Debtors view finds the person first, then shows everything they owe.

Find the person first. Then see the whole picture of what they owe.

Summary

Debtors lists the people behind accounts, so staff can find someone without an account number.

Search by name, phone or the last four digits of the SSN; only the last four are ever shown.

From the debtor window, open any of their accounts to work it.

Key takeaways

Use Debtors when a consumer calls in without an account number.

Review all of a person's accounts before discussing any one of them.

Keep contact details current on the debtor so every account benefits.

What the Debtors view is for

Accounts in Nexum are debts; debtors are the people behind them. One debtor can owe on several accounts, sometimes for different clients. The Debtors screen lets staff find a person when they don't know the account number, or see everything one person owes in one place.

Searching for a debtor

Type a name, a phone number or the last four digits of the SSN. Results show the name, city and state, phone, email, the SSN (only the last four digits are ever displayed) and how many accounts the person has. The list stays empty until you search, which keeps consumer data off the screen until it's needed.

Opening their accounts

In the debtor window, the Accounts list shows each account the person has. Click one to open the full account screen, where you can log contacts, add notes and record payments. See inside Nexum Accounts.

When to use it

Inbound calls. A consumer calls and gives their name but not an account number. Search by name or phone, verify identity, and see all their accounts.

Multiple accounts. Before negotiating on one account, check whether the person has others. A consumer with three accounts may prefer a coordinated plan, and you'll want to know about a dispute or cease-and-desist on any of them.

Data cleanup. Correct phone numbers, emails and addresses at the debtor level so every related account benefits.

Privacy by design

  • SSNs are stored encrypted and shown only as the last four digits.
  • Results appear only after a search.
  • Access follows the user's role.

How this connects to imports

When new placements arrive, the Import Center checks whether an incoming person matches an existing debtor on SSN and last name. Staff can merge the new account onto the existing debtor, create a separate person, or send it for verification. That's what keeps the Debtors view accurate instead of full of duplicates, which matters more than it sounds; see duplicate accounts can distort every KPI.

Why it matters

Collections happen between people, not account numbers. Seeing the whole person helps staff have better, more accurate conversations and avoid contacting someone in a way one of their accounts forbids.
