Building the Daily Call List: Nexum Back Office for Supervisors
Back Office is the CRM's control room. Supervisors use it to build each collector's daily list, manage agents and see the whole portfolio.
The best call list is the one built on purpose, every morning.
Summary
Back Office has four tabs: Agent Management, Daily Call List Builder, Portfolio Overview and Commission Reports.
Supervisors filter accounts and set accounts per agent to build each morning's lists.
Agents can be qualified by debt-type industry so lists only include work they're trained for.
Key takeaways
Build lists every morning before collectors start.
Qualify each agent for the industries they're licensed or trained to work.
Use the portfolio overview to spot where work is piling up.
The control room
Back Office is the admin control room of the Nexum CRM. It has four tabs:
- Agent Management: agents, their qualifications, their activity and bulk reassignment.
- Daily Call List Builder: today's call lists.
- Portfolio Overview: a read-only summary of the whole portfolio.
- Commission Reports: tiers and payouts, covered in how Nexum calculates commissions.
Building the daily call list
Collectors see an empty My Desk until a list is built, so this is a morning task. Open Back Office, click the Daily Call List Builder tab and set who the list should include. All filters are optional:
- Client (or any client).
- Industry.
- Balance minimum and maximum.
- DebtorIndex tier, if DebtorIndex is installed.
- Days since last contact.
- State.
- Status codes (leave all unticked to include every open account).
Then set Accounts per Agent (the default is 25) and build. Each agent sees their list in My Desk.
Qualifying agents for industries
Not every collector should work every debt type. In Agent Management, tick the industries each agent is licensed or trained to work (for example Medical, Student Loan or Utilities) and save. The list builder then gives agents only the debt types they're qualified for.
Seeing what an agent has been doing
Click Activity on an agent's row to see their latest actions.
Moving accounts in bulk
To move many accounts to one agent, use Bulk Reassign Selected Accounts in Agent Management. For individual moves requested by collectors, use the approval process so transfers are controlled.
Portfolio Overview
A read-only summary of the whole portfolio:
- Recovery rate, total placed and total collected.
- By status: accounts and balance in each status.
- Age buckets: how old the accounts are.
- By client: accounts and balance for each client.
Use it to spot where work is piling up, for example many accounts sitting in New Placement or No Answer.
Tips for better lists
- Lead with accounts that have follow-ups due and strong recent signals.
- Don't overload lists; 25 well-chosen accounts beat 80 random ones.
- Exclude accounts recently contacted to respect frequency rules and avoid wasted attempts.
- Review results weekly and adjust filters.
For thinking on prioritization beyond filters, see collector queues should optimize recoveries.
Why it matters
A deliberate daily list is the simplest lever a supervisor has on collections. Back Office makes it a five-minute routine instead of a spreadsheet project.
