How Do Collection Agencies Process Online Payments?

Online payments only work when authorization, processing, posting and reconciliation all connect. In Nexum, they do.

A payment isn't finished when the card is charged. It's finished when every record agrees.

Summary

Online collection payments run from consumer authorization through a processor to account posting and client reporting.

Agencies must handle PCI scope, authorization records, failures, chargebacks and reconciliation.

Nexum's debtor portal, ConsentPay and Payments list connect every step on one account record.

Key takeaways

Trace one payment from authorization to ledger.

Keep authorization evidence on the account.

The short answer

Agencies process online payments through a payment processor, usually via a debtor portal, a payment link, or a collector entering an authorized payment. The full flow is authorization, processing, result, posting, receipt, downstream updates and reconciliation. Nexum connects all of it.

The payment flow

  1. Authorization: the consumer authorizes a one-time or recurring payment, with amount, date and method.
  2. Processing: the payment goes to the processor; card or bank data stays with the processor.
  3. Result: approved, declined or pending.
  4. Posting: the account balance, payment history and status update.
  5. Receipt: the consumer gets confirmation.
  6. Downstream updates: collector lists, client reports, commissions.
  7. Reconciliation: processor deposits match posted payments.

Key responsibilities

PCI DSS. Card data security standards apply. Using a hosted processor page and not storing full card numbers reduces your scope.

Authorization records. Keep evidence of what the consumer agreed to, especially for recurring payments. See ACH authorization must follow the payment.

Fees. Convenience fees are regulated in some states; have counsel review.

Failures and chargebacks. Declined payments, returned ACH and disputes need their own workflow.

Reconciliation. Daily matching prevents small errors from becoming client problems.

How Nexum does it

  • Debtor portal: online payments through your processor, posted straight to the account.
  • ConsentPay: secure signing links in English or Spanish, signed PDFs filed on the account automatically, state-based fee rules, and only the last four digits of a card collected.
  • Payments list: search by account or reference, filter by client and date, total for reconciliation.
  • Client portal: clients see payments on their accounts.

The bottom line

Make paying easy for consumers and every record consistent for your agency. Nexum does both on one account.
