Switching CRMs Without Losing the Operating Context

Moving balances is easy. Keeping promises, follow-ups, restrictions and ownership intact is the job. 502ZONE plans it with you.

The balance tells you what's owed. The context tells you what to do next.

Summary

Migrations often move data but lose the context collectors work from.

Promises, follow-ups, restrictions, disputes, notes and ownership must survive the move.

Nexum stores all of that natively, and 502ZONE plans migrations during installation.

Key takeaways

List every piece of context collectors use.

Verify restrictions and open commitments specifically.

Let 502ZONE plan your move to Nexum.

What gets lost

The promise from last Tuesday, tomorrow's follow-up, "call after 5, works nights," the dispute waiting on documents, last month's cease-and-desist, who owns the account, the next plan installment. Lose those and collectors start over, consumers repeat themselves and restrictions can slip.

A context checklist

Before migrating, list every piece of context that affects how an account is worked:

  • Restrictions: cease-and-desist, do-not-call, bankruptcy, attorney representation, deceased.
  • Open commitments: promises, payment plans, scheduled payments and authorizations.
  • Follow-ups: dates and reasons.
  • Disputes: status, stage and documents.
  • Legal status and statute-of-limitations dates.
  • Ownership: assigned collector.
  • Notes and contact history, including channel and result.
  • Documents and recordings.
  • Consumer preferences: language, contact times.

Map and verify each

Map each element to the new system. Some will map directly; some need translation (status codes, result codes). Then verify:

  1. Count restricted accounts before and after, by restriction type.
  2. Count open promises and plans, with amounts and dates.
  3. Count open disputes by stage.
  4. Spot-check notes and history on sample accounts.
  5. Confirm assigned collectors.

Let collectors check

Before cutover, have collectors review a handful of their own accounts in the new system. They'll spot missing context faster than anyone.

Plan the gap

During cutover, decide how new events (payments, disputes, consumer requests) are captured so nothing falls between systems.

Why moving to Nexum is safer

Nexum accounts natively hold follow-up dates, SOL dates, legal status, notes, assigned agent, staged disputes, documents, recordings, payments and a full Comm Log. Restrictions are statuses every screen enforces immediately. 502ZONE plans the migration during installation, and the Import Center review and duplicate checks apply to migrated data. See the migration checklist.

The bottom line

Migrate the context, not just the data. 502ZONE makes sure it arrives.
