Settlement Workflows Need Approval, Evidence and Follow-Through

A settlement is only a good deal if it's authorized, documented and paid. Nexum runs all three.

A settlement is only a good deal if it's authorized, documented and actually paid.

Summary

Settlements need eligibility checks, authority limits, approvals, documentation, payment and monitoring.

Without structure, collectors exceed authority and terms get disputed later.

Nexum routes approvals, captures signed authorizations and tracks settled accounts to completion.

Key takeaways

Encode each client's settlement authority.

Document every offer and acceptance on the account.

Why settlements need structure

Discounts outside authority, unclear terms, letters that don't match the agreement, payments tracked against the wrong balance and inconsistent handling across a client's accounts.

The settlement workflow

1. Eligibility. Is the account eligible under the client's rules (age, balance, status)? Are there disputes or restrictions?

2. Authority. What discount can the collector offer alone? What requires supervisor approval? What requires client approval?

3. Offer. The collector presents options within authority and records the offer.

4. Approval. Offers beyond collector authority route for approval, with the account context attached.

5. Documentation. Terms (amount, dates, method, what happens on completion) recorded on the account and confirmed to the consumer in writing as appropriate.

6. Payment. Authorization captured; payments scheduled or taken.

7. Monitoring. Settled accounts tracked until fully paid; missed payments trigger follow-up.

8. Closure. On completion, status updated, balance adjusted per terms, client informed.

Consistency builds trust

Clients want to know settlements are applied fairly and within authority. Consumers want terms they can rely on. A consistent workflow delivers both.

Watch the economics

Track settlement rate, average discount, settlement completion rate and collections from settlements. A settlement that isn't completed is just a discount. See also promises to pay are workflows.

How Nexum runs it

  • + Task approvals for anything outside standard terms; BackOfficeHub can prepare an AI brief for a fast decision.
  • Notes and documents record terms on the account.
  • ConsentPay captures a signed authorization on the consumer's phone.
  • Statuses and follow-up dates track settled accounts to completion.
  • Client portal shows the client every payment.
  • Templates hold approved confirmation messages.

The bottom line

Make settlements controlled and documented, and they turn into recoveries. Nexum does.
